Duoc UC
We implemented a complete Notion system for the General Directorate of Digital Services, turning Notion into the operational hub for 6 working units including: Admissions & Enrollment, Community, Data & AI, People & Efficiency, Academic Experience, and Finance & Procurement. Duoc UC is a Chilean technical-professional higher education institution organized as a Professional Educational Institute and a subsidiary of the Pontificia Universidad Católica de Chile.
Starting Point
The DGSD was using Notion to organize initiatives and projects, but each working unit operated in isolation — with separate sources of information for projects, documentation, tasks, and budgets. There was no global or real-time visibility into the team's workload, recent documentation, or the actual status of ongoing projects.
We began the implementation with a process analysis for each working unit and expanded the scope of the Notion workspace by incorporating project management support teams such as the CCA, the Experience Lab, and Technical Leads, as well as support areas like Finance.

An integrated, shared space for project management, tasks, and documentation related to new internal initiatives within the Digital Services Directorate. All product units follow a unified management format that enables better visibility into workload distribution. All projects are linked to their related documentation and tasks per unit, while also enabling cross-unit collaboration.
Result: Global, real-time visibility into project status and team workload.
QA Workflows
The project management system includes integrated quality management flows for handling bugs and technical errors within the same project, specifically for projects involving software implementations.
Result: The Quality team has an integrated way to report and manage errors transparently, and to share live status updates.
Statistics & Analytics
General data analysis spaces tied to projects for tracking delays, workload, progress, bottlenecks, assigned resources, incident management, errors, and quality metrics.
Result: A global view of key project metrics for all leadership profiles.
